What Tofta sends
Every place the app reaches, and exactly what goes to each one. Nothing is sent unless you choose to, and you are shown the exact fields first.
The principle this is built on
Data about people who cannot consent never leaves the phone. Your tenant has never heard of Tofta and has agreed to nothing, so nothing about them is ever transmitted.
That is a promise about behaviour rather than a claim about what the software is capable of. Every competitor uploads your portfolio by default the moment an account exists. Tofta has no account to create.

The knowledge bank you are reading now. The app downloads the answers so they are there when you have no signal. It sends nothing about you to fetch them.
The government EPC registerA postcode
Looks up the energy certificate on a property so you do not have to type the rating, the date or the expiry.
HM Land RegistryA postcode
Sold prices since 1995 and the monthly house price index, used to show what a property might be worth now. Which sale is yours is picked by you, never guessed, because the register writes one address four ways.

Turns a postcode into a council area, because the house price index is organised by council rather than by postcode.
The Environment AgencyA postcode
Flood areas the agency watches nearby, and any live warnings on them. Worded as what the agency watches, never as your property’s flood risk, with a link to the GOV.UK service for the real answer.
The planning registerA map point
planning.data.gov.uk, the government’s own planning platform. Whether the property sits in a conservation area, an Article 4 direction, a flood zone or a listed building record. The postcode is turned into a point on the map and that point is what is asked about.
Companies HouseA company name
If you hold a property in a limited company, Tofta can watch when its accounts and confirmation statement are due. You type the company name, which is what goes out to search. Pick yours off the register and its company number goes out to fetch the filing dates. Nothing about you or the property goes with it.
When each one happens
The answers download in the background. Everything else happens only when you tap the button that asks for it, and the request is a postcode, the map point it sits on, or a company name you typed.
No rent, no tenant, no deposit, no mortgage balance, no name and no email address is part of any request Tofta makes. Those exist only in the file on your phone.
The one thing that leaves on purpose
The property file is a PDF you make and hand over yourself, usually to a letting agent, a buyer or an accountant.
It may carry the lead tenant’s name and the date they moved in, and nothing else about them. The deposit, the scheme and the protection dates stay on the phone. The distinction that matters is between Tofta sending something and you choosing to.
Knowing the rule is the easy half.
The hard half is remembering which of your properties is due what, and when. That is the part Tofta does.
